Our company is a boutique importer and distributor of Fine Wines, Spirits, and Specialty Foods based in North Hollywood, California. We are seeking a full-time Office Assistant who is organized, proactive, and able to multitask in a fast-paced environment. This role supports the Accounting, Logistics, and Compliance departments and plays a key part in maintaining efficient daily operations.

The ideal candidate is professional, detail-oriented, and able to effectively manage multiple priorities in a fast-paced environment.

Job responsibilities include but not limited to:

- Manage the general office email inbox by reviewing, organizing, and forwarding messages
- Maintain office and warehouse supply inventory and place orders as needed
- Generate and process customer invoices, ensuring pricing accuracy
- Maintain organized physical and digital invoice filing systems
- Prepare and submit monthly sales, CRV, and out-of-state reports
- Monitor overdue accounts and follow up professionally on outstanding payments
- Update product technical information in Google Drive
- Upload and manage product images in the Pepperi system
- Assist with preparing and packaging shipments as needed
- Print shipping labels and stickers as backup support
- Assist with filing claims for damaged shipments
- Track and record vendor marketing expenses, including invoice filing and documentation
- Maintain the company demo calendar and upload related images
- Organize and manage demo materials and marketing tools by brand
- Track demo materials distributed to external partners
